An importer's purchase order for Alphonso should name grades, quantities, delivery window, destination, price basis, payment terms and documents. The supplier's written confirmation should repeat each point and flag any change. We are APEDA-registered (225579); export pricing and paperwork are confirmed per enquiry, not published.

Why the confirmation matters
In perishable trade, a purchase order is a plan written down, and the confirmation is the supplier agreeing to that plan in words you can point to later. Alphonso is seasonal, usually February to June, with the 2027 season listed to start on 1 February 2027. The fruit follows the trees, not the contract. So the paper has to say what happens when the trees disagree with the calendar.
Most disputes in this trade trace back to something both sides assumed and neither wrote. Was the weight net or gross? Was the grade by weight band or by look? Was ripeness at dispatch semi-ripe or ready to eat? A good PO and a careful confirmation remove those gaps before the fruit is picked.
What goes in the purchase order
- Parties. Legal names, addresses, tax or import registration numbers, contact persons.
- Product. Alphonso (Hapus), with origin if it matters to you: Ratnagiri or Devgad.
- Grade. Size by weight band. Our retail bands run from small (150 to 180 g) to jumbo (275 to 300 g); say which band you want and what tolerance you accept.
- Quantity. Total, per shipment, and acceptable variance.
- Packing. Carton type, net weight per carton, labelling language.
- Timing. Ship week or harvest window, with a fallback week.
- Destination and incoterm. Airport or port, and who pays freight and insurance.
- Price basis. Price per kg or per carton, currency, what is included.
- Payment. Method and timing.
- Documents. Which certificates and invoices you need.
- Quality and claims. Acceptance criteria, inspection window, how a claim is raised and settled.
Keep the language plain. A PO that needs a lawyer to read is a PO that gets argued about.
What the confirmation should say back
A confirmation is not a thank-you note. It should restate the grade, quantity, window, destination, price basis, payment terms and documents, and it should mark clearly anything that differs from your PO. If the supplier accepts everything, the confirmation should say so in one line. If not, it should list the exceptions.
| PO line | Confirmation should |
|---|---|
| Grade and tolerance | Repeat the weight band and tolerance |
| Quantity | State the confirmed total and variance |
| Window | State the harvest or ship window and the fallback |
| Price basis | State the unit, currency, validity and inclusions |
| Payment | Restate method and timing |
| Documents | List documents that will be provided |
| Claims | State the window and evidence needed |
If anything is unclear, ask before you pay. A confirmation that arrives after the money has moved is a weak document.
Terms we do not publish
Be clear about what is not on our public pages. Export prices, export documents for specific destinations, minimum quantities, credit terms and any volume pricing are not published. They are confirmed per enquiry and should appear in the written quote and confirmation. Do not assume a retail price or a retail policy carries over to an export order.
What we do publish: we are an APEDA-registered exporter (registration 225579), and our mango export page and APEDA export page describe the export side, including named markets and an air-freight season of March to June. Destination rules vary and change, so verify requirements with the importing country's authority and your customs adviser.
Handling changes and shortfalls
Plan for the day the plan breaks. Rain at the wrong week, a late flowering, a delayed flight: each is normal in mangoes. The PO and confirmation should say what happens then. Can the window slide by a week? Is a partial shipment acceptable? Who decides? What is the remedy if the shipment is short, a refund or a later replacement?
Write it down while the relationship is calm. It is far easier than negotiating it after a pallet has been rejected.
A short checklist before you sign
- Does the confirmation name the same grade and weights as the PO?
- Is the price basis, currency and validity stated?
- Is the ship window stated with a fallback?
- Are the documents you need listed?
- Are the claim window and evidence rules stated?
- Has the supplier given a written no-carbide statement?
- Have you checked the supplier's registrations on the official registers?
How an order reaches you
For domestic retail, fruit is harvested to order, packed against the order and shipped semi-ripe. Dispatch is Monday to Saturday for orders before 1 PM IST, by BlueDart to serviceable PIN codes, with free delivery, prepaid payment only and tracking by email and WhatsApp. A damaged or wrong box is claimed within 24 hours with photos or video. Export orders follow what is agreed in the confirmation. See the shipping policy and return policy for the retail baseline.
Calcium carbide is prohibited for ripening fruit in India under Regulation 2.3.5 of the FSSAI Prohibition and Restrictions on Sales Regulations, 2011; it releases acetylene and can carry arsenic and phosphorus impurities. We do not use carbide. Our Alphonso mangoes are ripened naturally (on hay beds, as our FAQ states). Ethylene up to 100 ppm is the permitted route in India, and the street name for carbide-ripening is "masala". A white or grey powder (calcium hydroxide) on fruit is a warning sign. The float test is only a rough clue; only a lab test proves it.
