A reward gift is easy when everyone lives in one building. It gets harder when the team sits in ten cities, and each person needs a box at a real address on a sensible day. Fresh Alphonso (Hapus) mangoes are a popular reward because the season is short and the fruit is a treat. This guide explains how to organise it, what to prepare before you contact a supplier, and what to confirm in writing.

Plan employee mango gifts in six steps

1. Fix the budget per person. Decide what each recipient gets before you look at boxes. Our article on budget per person helps with this.
2. Choose one box. One dozen per person is the simplest unit. A single choice also keeps the gift fair across the team. See Ratnagiri Alphonso and Devgad Alphonso.
3. Collect the recipient list. Names, full addresses, PIN codes and mobile numbers. Details follow below.
4. Check PIN codes. Delivery is by Blue Dart and about 65% of Indian PIN codes get next-day delivery. Not every address will, so check the PIN codes early.
5. Pick a date window. Fruit is seasonal, and a box that sits at a closed office loses quality.
6. Tell employees to expect it. A short message from HR or the manager saves a missed delivery.

The recipient list: what to collect

Most delivery problems come from a weak list. Ask employees for a home address instead of assuming the office works for everyone, because many people work from home or are on leave in the season. A good list has these columns:

Send the list as a spreadsheet and keep one master copy. If two versions circulate, a person gets two boxes, or none.

Cost and a multi-city example

Our Alphonso dozens start from Rs 1,849 depending on grade. As a floor and not a quote, one dozen each for 25 employees is Rs 46,225 before the delivery charge. There is no GST on fresh mangoes. What changes with many cities is the number of delivery batches. Take 100 employees in 10 cities, ten in each. That is 100 boxes, but 10 city batches, each with its own addresses, PIN codes and delivery dates. Check the PIN codes city by city, and agree the dates for each batch in writing.

A larger grade raises the cost, up to Rs 5,399 for the largest Ratnagiri option. If the budget is tight, ask for a smaller grade rather than a smaller list, or consider Kesar from Rs 999 per box. Whether a volume price applies depends on the supplier, grade and quantity, so ask for the quotation in writing and compare it on the same grade and fruit count.

Dates and delivery across cities

Alphonso is harvested about February to June, with the best supply from March to May, and our 2027 season opens on 1 February 2027. Fresh Alphonso is not sold outside the season, so book your dates inside it. Alphonso pulp tins from Rs 590 are available all year if your reward date falls outside the fruit season. If all boxes must land on one day, tell the supplier early and ask whether that is possible for your cities. If dates can differ, a staggered plan is easier: a few cities per day. We do not use carbide. Our Alphonso mangoes are ripened naturally on hay beds. Alphonso takes about 15 days from harvest to ripening. A box that arrives ripe should be eaten within a few days, so avoid delivery on days people will be away.

If you ask a supplier to deliver on different dates to different recipients, get that in writing with the list, not only on a phone call.

Tracking, invoices and damage

This is where bulk gift buyers need clear answers, and where we avoid promising what we cannot state in an article. For any supplier, including us, ask:

• Can I get one invoice for many delivery addresses, or one per recipient?
• What delivery status will I see, and can I share it with HR?
• Who calls the recipient if a delivery fails, and how many attempts are made?
• What is the process for a damaged box, and by when must I report it?

For us, damage should be reported within 24 hours of delivery. We deliver by Blue Dart. For anything beyond that, such as invoice format or delivery status, tell us what you need and we will say what we can do before you order. There is no GST on fresh mangoes. GST applies on shipping for corporate gifting orders, and the invoice shows it. Do not assume a supplier does any of it; ask and keep the reply.

Also ask each recipient to confirm receipt to HR. It is the simplest way to know all boxes arrived.

What to ask any supplier for multi-city gifting

• Which variety, origin and grade, and how many pieces per box?
• Can you deliver to the number of cities and PIN codes on my list?
• Can the supplier handle different delivery dates and addresses in one order?
• What is the full delivered cost, including any tax or delivery charge?
• What are the payment and invoice terms?
• What is the damage and replacement process, in writing?
• Is there a cut-off date to submit the list, so boxes arrive in season?
