Mango Purchase Orders and Invoices: What Business Buyers Should Ask

By Prashant Powle  •   8 minute read

Mango purchase orders and invoices with corporate procurement paperwork next to fresh Alphonso mangoes

Mango purchase orders differ by supplier, so ask before you order. Confirm the quotation validity, grade and quantity, what the invoice shows, the delivery window, and what happens if the supplier cannot fulfil the order. There is no GST on fresh mangoes.

A company, hotel, school or shop that buys mangoes in quantity usually cannot pay from a personal card and move on. Finance wants a purchase order (PO), a proper invoice and a paper trail. So the first question is a practical one: which mango supplier accepts purchase orders from registered businesses, and on what terms? There is no single answer, because every seller sets its own terms. This guide explains what to ask, what to put in writing, and how to avoid problems in a seasonal market.

Which mango supplier accepts purchase orders?

Some suppliers work only through an online cart. Others deal with business buyers directly, by email or phone, and issue a quotation first. Neither is better. What matters is that the supplier can say, in writing, how business orders work. Ask these questions before you raise a PO:

  • Do you accept a PO from a registered business, or do you ask for payment before dispatch?
  • Who issues the quotation, and until what date is it valid?
  • Is the invoice issued in the business name, for each delivery address?
  • What are the minimum quantity and payment terms for a business order?
  • Who is my contact if something goes wrong on the delivery day?

We are AlphonsoMango.in, run by Powle Home Foods in Mumbai, and we supply companies, restaurants and hotels as well as households. There is no GST on fresh mangoes. GST applies on shipping for corporate gifting orders, and the invoice shows it. Our corporate gifting guide covers corporate orders. For a particular order, write to us with your business details, quantity, cities and dates, and we will answer for your case. We have not set standard minimum quantities, credit periods or payment terms on this page, because they depend on the order.

Quotation, pro forma invoice and tax invoice

Business buyers often mix these up. They do different jobs.

Document What it is Why you may need it
Quotation The supplier's offer: product, grade, quantity, price, delivery and a validity date To compare suppliers and to attach to your approval note
Purchase order (PO) Your written instruction to buy on stated terms To commit the order, and to record what you agreed on grade, quantity, dates and delivery address
Pro forma invoice An advance document showing what you will be billed. It is not a tax invoice When your finance team needs a document to release a payment
Tax invoice The final invoice issued by the supplier after the sale To book the expense and match it to the payment

Which of these a supplier issues, and in what order, is the supplier's own process. Ask. Do not assume that a quotation will be turned into a PO, or that a pro forma invoice is the same as a final bill.

What an invoice should show

Ask your accountant about tax treatment. As a buyer, check at least the following on the first invoice you receive:

  • The supplier's name and address.
  • Your business name and address, spelled exactly as you want it.
  • A unique invoice number and the invoice date.
  • A description of the goods and the quantity.
  • The delivery address, if different.
  • Shipping GST, where it applies (corporate gifting orders).

There is no GST on fresh mangoes. GST applies on shipping for corporate gifting orders, and the invoice shows it.

If you deliver to several addresses, ask whether you will get one invoice or separate ones. Suppliers handle this differently.

What to write into a purchase order

Mango is a fruit that ripens on its own schedule, and a loose PO leaves too much room for disagreement. A good PO for fresh mangoes states:

  • The product and grade. For example, Ratnagiri or Devgad Alphonso, with the fruit count and the approximate weight per dozen. A dozen of Alphonso weighs roughly 1.8 to 3.3 kg depending on grade, so a rate per dozen alone is not enough.
  • The quantity and delivery dates. Give a window, not just a day, and name the delivery address for each lot.
  • The price and its validity. Fresh fruit prices can change during the season, so note the date until which the quoted price holds. Our listed prices are "from" prices, so check the product page for the current price.
  • Ripeness on arrival. State whether you want fruit that is firm or closer to ripe.
  • Payment terms. Whatever you and the supplier agree, write it down.
  • Damage reporting. We ask that damage be reported within 24 hours of delivery. Ask every supplier for their rule and write it into the PO.
  • Cancellation and substitution. Say what happens if the supplier cannot deliver the confirmed quantity or grade.

Alphonso is a seasonal fruit. It is harvested from about February to June, and supply is best from March to May. The 2027 season opens on 1 February 2027. Raise your PO early enough that the supplier can plan, and do not leave the dates open.

What happens if a supplier cannot fulfil a confirmed order

Crop is a natural product. Weather, a short harvest or a transport problem can leave a supplier unable to meet a confirmed order in full. This is the question most buyers forget to ask, and it is better asked before the order than after the delay.

  • Partial delivery. Will the supplier deliver part of the order, and will you be invoiced only for what arrives?
  • Substitution. Can the supplier offer a different grade or variety, and do you have the right to refuse it?
  • Cancellation. Can you cancel the balance without penalty if the delivery date passes?
  • Advance payments. If you paid in advance, how is the unused amount handled?
  • Escalation. Who do you call if the shipment is late, and how quickly does that person reply?

Those answers belong in writing before you confirm the PO. We have not set a standard policy for these cases on this page. If your order is large or tied to a fixed event, write to us first with your dates so we can tell you what we can commit to. For event orders see Alphonso mango for weddings and events.

What to ask any supplier

Before you raise a PO, ask whether the supplier accepts one, how long its quotation is valid, and what the minimum quantity and payment terms are. Then confirm the grade, count and weight per dozen. We deliver by Blue Dart, and about 65% of Indian PIN codes get next-day delivery, so check your PIN code at checkout.

For a side-by-side method, see how to compare mango suppliers by quotation and invoice. To check the supplier itself, read how to find a genuine Ratnagiri Alphonso supplier.

People also ask

Which mango supplier accepts purchase orders from registered businesses?

Terms differ by seller, so ask each one whether it accepts a PO, how long its quotation is valid and what the invoice shows. We supply companies, restaurants and hotels. Write to us with your business details, quantity, cities and dates, and we will tell you what we can do for your order.

Can I get a GST invoice for a bulk mango order?

There is no GST on fresh mangoes. GST applies on shipping for corporate gifting orders, and the invoice shows it. For other terms such as quantity, payment and invoice format, ask each supplier, and write to us with your business name, quantity, cities and dates.

What is a pro forma invoice for a mango order?

A pro forma invoice is an advance document that shows what you will be billed. It is not a tax invoice. Finance teams often use it to release a payment. The final tax invoice is issued by the supplier after the sale, so ask each supplier which documents it issues and when.

What happens if a supplier cannot fulfil a confirmed mango order?

It depends on the terms you agreed, which is why they must be written down first. Ask about partial delivery, substitution, cancellation and the return of any advance payment. Mango is a seasonal crop, so a supplier can fall short. For our answer on a large order, write to us before you confirm dates.
